How to take a payment on behalf of a customer (over the phone or in person)

You can use Pinch on behalf of your customer as an admin user, this enables you to take payment on their behalf which can be useful.

If you have customers who ring up to pay invoices over the phone or come into your place of businesses to do the same, you can open your invoice from Pinch and take payment for them. This also allows you to save their card details so that you can either automatically take future invoice payments or manually process future invoices without having to ask for the details again.

Steps to take to take payment on behalf of a customer

1 - Find the invoice in Pinch. As long as the invoice is in your connected accounting system and in an unpaid but approved state it will be in Pinch. You can find it in the payments section or by searching for the customer, clicking on them and scrolling to the bottom of the page where you will find all of their invoices and payments. It will either be in scheduled or outstanding.

Once you find the invoice you wish to pay click the invoice name link to open the payment page in Pinch.

2 - From here click Launch Pay Now Page. This will open the page that the customer would see if they clicked the pay now button on invoice issued, or online invoice.

3 - You can do anything your customer can do from this screen. Simply pay the invoice on behalf of your customer. To save the details for future use select the checkbox before completing payment. If you have payment plans or batch payment enabled you will also be able to use these features on behalf of your customer to either enrol them in a payment plan, or pay more than one invoice in the same transaction. You can also copy the URL and send it to your customer to pay themselves.
